Your books are yours.

No promises in big words, but mechanisms you can check for yourself: where your data lives, what AI does and does not get to see, what trail every action leaves behind — and how you can leave with everything, at any moment. This is the whole list.

Where your books live

Separated, encrypted — and locked.

Three layers that are always there, for every administration, without you having to switch anything on.

Isolated per administration

Each administration is its own sealed domain. The separation between your figures and every other customer's is enforced down to the database itself — at the layer where your data lives, not just by a checkbox in the software above it. The strictest place to arrange it.

Encrypted, in the EU

Your data is stored encrypted on servers in the European Union. Not "the cloud, somewhere" — the EU, under European rules. Your data falls under the GDPR, and under nothing vaguer than that.

Access under control

You can sign in with two-step verification: a code from your phone on top of your password. And inside your administration, roles & permissions decide who may do what — those who may post, post; those who may look on, look on.

A trail of everything

Every action leaves a line behind.

Good bookkeeping can be retold. In Solvo, every action — from a receipt being read to a period being locked — is recorded with who, what and when. Not because we distrust you, but because you need to be able to show it's right: to a colleague, your advisor or the Dutch tax authority (Belastingdienst).

The trail is always there, and you can hand it over: the official XAF audit file and a complete review bundle for your specialist are one click away.

who, what, when — it's all there

Control built in

Trust is good. Four eyes are better.

Two mechanisms from real bookkeeping practice, built in rather than bolted on.

Four-eyes approval

Above a threshold amount you set yourself, whoever prepares an entry may not also approve that same entry. A second pair of eyes is required — just like in a real finance department. Configurable per administration, useful as soon as you work with more people.

Period locks

Once a period has been closed — for instance after you have filed your VAT return — it is locked. From then on, changes can only be made through a new, visible entry (a reversal (storno) or a supplementary return (suppletie)), never by silently overwriting something. So what you filed can always be retold.

How AI is bounded

AI is a guest here. Not the boss.

Solvo tries rules first, then the memory of your earlier choices — only when those don't know the answer may AI make a proposal. And that proposal is strictly bounded. Here is how that works, step by step.

You switch it on — or off

AI reading is on or off per administration. When it's off, no document leaves your administration. No exceptions.

Only then does anything go to the AI processor

Only when AI reading is switched on does a document go to the AI processor (Anthropic) — under a data processing agreement that lays down what may and may not happen with your data.

AI proposes, code checks

Every proposal passes the same deterministic check: does the account exist, is the VAT right, does the entry balance to the cent. Plain code, no AI — and that check is never skipped.

You confirm

Nothing is ever posted definitively without your approval. A doubtful case is put to you, not guessed.

AI identifies itself

Every proposal that comes from AI is clearly labelled as such — with the reason attached: which reading of the document it is based on. No black box, no proposal posing as fact.

Hidden instructions don't get past you

A document can contain text that poses as an instruction ("book this as…"). Solvo treats document content as data, never as instructions — and in any case nothing can be posted until you confirm, whatever a document says.

Your data is yours

You can leave any day. That's exactly why you stay.

One button exports your complete administration — entries, documents, contacts and the official XAF audit file — in open formats that any other package and any spreadsheet can read. No proprietary file format you'll have to buy a key for later.

You can cancel monthly, and cancelling does not mean your data gets held back. No hostage-taking, no "contact sales to receive your data". You take your books and go.

My books are mine. Even if I leave.

We say this so firmly because it is our best guarantee: a product you can walk away from every single month has to be worth it every single month.

The paperwork side, in order too

Solvo processes your data in accordance with the GDPR. What exactly we process, why, how long we keep it and which rights you have is set out plainly in our privacy statement. Processors we work with — such as the AI processor, if you have AI reading switched on — work under a data processing agreement.
